Position Summary

The On-Site Facilities Coordinator supports daily facility operations across Candescent sites, ensuring a safe, functional, and well-maintained work environment. This role provides hands-on support with building services, vendor coordination, space readiness, employee requests, and adherence to Candescent’s facilities and physical security policies. The Facilities Assistant is a key customer-facing representative of the Facilities team and works closely with Property Management, Security, Workplace Experience, and internal departments.

Facilities Operations & Maintenance

• Perform daily walkthroughs to identify safety risks, housekeeping issues, and maintenance needs.

• Assist with coordinating repairs, preventive maintenance, and service requests with Property Management and external vendors.

• Monitor building systems (lighting, HVAC issues, common areas) and escalate abnormalities.

• Support office moves, furniture adjustments, conference room setup, and general space readiness activities.

Employee Support & Customer Service

• Serve as the first point of contact for on-site employee facility needs and questions.

• Respond to facilities-related ServiceNow tickets and escalate as needed.

• Assist with minor adjustments to workstation setup.

Access & Physical Security Support

• Support compliance with Candescent physical security and badge access policies.

• Assist with badge issuance logistics, badge returns, and visitor access procedures.

• Report any access-related concerns, unsafe conditions, or missing credentials immediately to Physical Security.

Vendor & Property Management Coordination

• Communicate with janitorial, maintenance service vendors to ensure timely service.

• Monitor vendor performance during on-site visits and report issues or delays.

Space & Asset Management

• Track inventory of office supplies, tools, and facility consumables; restock as required.

• Support asset labeling, storage organization, and tracking of equipment and furniture.

• Assist with space utilization audits and seating updates.

Compliance, Safety & Documentation

• Support emergency preparedness activities, including drills, safety signage, and equipment checks.

• Complete daily, weekly, or monthly facilities checklists.

• Maintain documentation related to maintenance, access, and facilities operations.

• Ensure all tasks align with Candescent’s safety, physical security, and facilities policies.

Qualifications – Required

• 1–3 years of experience in facilities, building operations, workplace services, or a similar role.

• Strong customer service and problem-solving skills.

• Ability to lift/move up to 40 lbs and perform physical tasks associated with office support.

• Basic understanding of building systems, safety procedures, and maintenance best practices.

• Proficiency with work order systems (ServiceNow preferred) and basic office software.

Qualifications – Preferred

• Experience supporting multi-tenant or corporate office environments.

• Familiarity with vendor coordination and property management workflows.

• Knowledge of physical security policies and access control systems.

Work Environment
