Job Summary

Role Purpose

The Smartsheet Administrator will be responsible for managing and optimizing the use of Smartsheet within the organization. This role involves creating workflows, automating processes, and maintaining project management documentation. The administrator will work closely with business owners to gather requirements, resolve issues, and improve project management processes through technology and collaboration.

Key Responsibilities and Deliverables

What you will be responsible for and what you will do

  • Serve as a hands-on expert with advanced features of Smartsheet, including Data Shuttle, Dynamic View, Control Center and Blueprint Management
  • Monitor platform performance, manage integrations (e.g., Salesforce, NetSuite, JIRA and other third-party apps), and ensure data integrity
  • Leverage Smartsheet Control Center to standardize project/program creation, structure, and reporting—particularly around Portfolio Epic/Value Stream and Execution/Project Blueprints
  • Proven ability to build complex, data-driven dashboards and reports for executive and portfolio use
  • Maintain standard project management documentation and metrics in Smartsheet with limited direction.
  • Collaborate with business owners to gather project requirements and constraints related to trackers and reports.
  • Build and nurture positive, collaborative relationships with internal and external colleagues.
  • Continuously improve project management processes and Smartsheet administration, providing recommendations to management.
  • Identify and drive opportunities to refine processes through technology and eliminate non-value-added activities.
  • Investigate and report pain points, identify root causes, and determine impacts on processes.
  • Gather data, determine appropriate metrics, and conduct analysis to ensure established goals are met.
  • Develop and deliver user training, documentation, and best practice guides for varying user levels

Qualifications and Experience

Demonstrated skills, competencies, and required experiences

  • App experience
  • Integration experience
  • 2–4 years of experience as a Smartsheet Administrator, Solution Architect, or similar role
  • Deep technical expertise in Smartsheet, including Control Center and Blueprint management
  • Proven ability to build complex, data-driven dashboards and reports for executive and portfolio use
  • Excellent communication and presentation skills with the ability to explain technical concepts to non-technical stakeholders
  • Familiarity with other SaaS tools Management (e.g., Salesforce, NetSuite Projects, JIRA) a huge plus
