Role Description

Capitolis is looking for an Executive Assistant to support our Chief People and Culture Officer, as well as other members of the executive leadership team. This individual will enable the Chief People and Culture Officer and broader executive team to operate efficiently and stay focused on strategic priorities by providing exceptional administrative support.

The ideal candidate for this role is a seasoned C-Level Executive Assistant who is energized by supporting the day-to-day operations of a dynamic leaders in a fast-paced environment. This person must be highly organized, proactive, dependable, and conscientious.

This role reports directly to the Chief People and Culture Officer and is based in our New York City headquarters—just one block from Bryant Park and Grand Central.

Responsibilities

  • Provide high-quality administrative support to the Chief People and Culture Officer and other executive team members
  • Understand the Chief People and Culture Officer and other executive’s goals to effectively manage their calendars, including scheduling meetings, managing requests for their time, coordinating logistics, and helping prioritize competing demands
  • Act as an extension of the Chief People and Culture Officer and other executives in daily operations and internal/external communications
  • Participate in team meetings, track deliverables, and help drive initiatives forward on behalf of the executives
  • Ensure all supported executives are well-prepared for upcoming commitments, deadlines and responsibilities
  • Coordinate domestic and international travel including air and ground transportation, hotel reservations, and itineraries
  • Collaborate with other Executive Assistants across the organization to manage collective calendar requests
  • Assist with ad hoc projects and occasionally support with personal administrative tasks as needed

Requirements

  • 8+ years of experience as an executive assistant supporting C-Level Executives; experience providing administrative support to multiple individuals and/or teams is a significant advantage
  • Highly organized and execution oriented with the ability to balance speed with effective decision making
  • Forward thinker that operates with a healthy dose of paranoia; anticipates problems and proactively designs effective solutions around them
  • Ability to effortlessly juggle multiple priorities and provide seamless tactical execution
  • Highly adaptable with the ability to navigate an ever-changing environment
  • Excellent communicator who is comfortable engaging with internal and external stakeholders of all levels

The target annual base salary range for this position is $125,000– $135,000 and is dependent on a variety of factors, including, but not limited to, job-related experience, qualifications, knowledge, and skills. In addition to base salary, the compensation package for this role includes an annual discretionary bonus and company equity. This role is also eligible to participate in company-sponsored benefits and perks.
