Executive Assistants at MX thrive in a fast-paced, complex SaaS technology environment. The position requires providing in-depth and detailed support for the top leaders in our organization. The ideal candidate will be someone with a strong sense of ownership, sound judgment, impeccable organization, solid communications skills, and who wants to build a trusting long-term partnership with your leaders.
Job Duties
Maintain, track, and manage Executive initiatives through disciplined initiative, indexed towards proactive accomplishment of complex tasks.
Execute on projects and initiatives such as external meeting hosting/coordination and content planning/creation among other projects.
Provide actionable and accurate information to your Executive and maintain detailed action item lists that support company objectives and drive timely accomplishment.
Review and analyze high-level correspondence, contracts, and agreements.
Provide administrative project management support as a subject matter expert in your department area of responsibility.
Establish and implement organizational and departmental policies and procedures that enhance the performance and output of teams within your departments and across the company .
Work with department senior leadership to enhance the efforts of large groups and major initiatives.
Track, manage, and appropriately forecast department reportable metrics and applicable cost center budgets when necessary.
Be a master of Executive Administrative support responsibilities to include schedule awareness and planning, cross-departmental collaboration, client engagement preparations, and other clerical tasks, assigned or implied.
With planning foresight and awareness, optimize Executive travel logistics meticulously protecting your Executives time and resources.
Be an excellent communicator and establish clear oral and written communicative support among executives, vendors, clients, and community representatives.
Manage the executive’s schedule by arranging meetings and ensuring that the executives are spending time efficiently.
Ensure the effectiveness, structure, focus, and outcomes of all necessary meetings encouraging asynchronous collaboration when possible.
Draft and track action-oriented agendas for all meetings and engagements, provide detailed notes follow-up on all action items and drive execution.
Basic Requirements
Ability to work onsite in the Lehi, UT office
2+ years in an Executive Support role and/or project manager role
Strong verbal and written communication skills
Experience with Google Suite, Slack, and Zoom
Professionalism and a high degree of emotional intelligence
Integrity and discretion in handling confidential information
Time management, pattern recognition, prioritization, diligent attention while managing numerous projects with set deadlines
Self-starter mentality, inventiveness and creativity when tackling roadblocks
Resourcefulness and ability to work in ambiguous environments, being comfortable with the unknown as well as working under pressure
Ability to effectively give, receive, and respond to feedback
Advanced Requirements
Experience working in the fintech industry
Project Management Experience
Experience in cross-collaborative teams and inter-departmental coordination
Familiarity with systems such as: Workday, Salesforce, Navan, Zoom
Compensation
The expected on-target earnings (OTE), which is comprised of a base salary and other forms of cash compensation, such as bonus or commissions is currently $71,000-$85,250. This pay range is just one component of MX's total rewards package. MX takes a number of factors into account when determining individual starting pay, including job and level they are hired into, location, skillset, peer compensation.
