In this role, you will be responsible for coordinating, creating, and delivering responses for Request for Proposals (RFPs), Due Diligence Questionnaires (DDQs), and other external customer-related requests, which accurately and favorably represent Proof to prospective and existing customers. You will lead the development and maintenance of an industry-leading model for RFP and DDQ best practices in quality, process, technology, depth of knowledge, and teamwork with the goal of acquiring new business and retaining existing relationships. You will also be responsible for ensuring company compliance with customer contract requirements. The ideal candidate will have a strong focus on continuous improvement with the ability to identify and implement ways to stay one step ahead of a quickly evolving industry and organization.
What you’ll do as the Proposal, Due Diligence and Contract Manager at Proof:
- Oversee Proof’s responses to RFPs and DDQs from start to submission, including the development of project plans and the drafting of responses that ensure all content meets quality standards and deadlines.
- Drive a scalable and repeatable RFP and DDQ processes including knowledge database management, message writing, data collection, content synthesis, timeline management, approvals process, and reporting.
- Continuously review and enhance RFP and DDQ processes to streamline efficiency and improve response quality.
- Coordinate with various internal stakeholders (go to market, legal, compliance, infosec, operations, finance, HR, and others) to gather necessary information for RFP and DDQ responses.
- Understand risks related to contracts including contracts in heavily regulated industries (e.g. banking) with the goal to develop mitigation strategies for reducing risk.
- Adapt to changing priorities and work efficiently in a fast-paced environment.
What we’re looking for:
- Bachelor’s degree in finance, business, computer science, or related fields
- 5+ years of relevant experience responding to RFPs and DDQs.
- Excellent written and verbal communication skills, with the ability to articulate complex technical concepts effectively.
- Excellent and proven ability to initiate and organize work, establish priorities in a time-sensitive environment, and meet deadlines with attention to detail and quality.
- Strong analytical skills with an ability to effectively communicate technical details to various audiences and an interest in problem solving as well as a willingness to go above and beyond for both internal stakeholders and customers.
- Strong planning and organizational skills with the ability to balance and control your own priorities to meet targets.
- Solid understanding of software applications such as Word, Excel, Google Docs, Google Sheets, Google Slides, and other IT skills.
